The Calgary Ski Club has Implemented a New Cancellation Policy, Effective Immediately

Refunds will be paid in Calgary Ski Club (CSC) points only. No cash, e-Transfer, or credit card refunds.

 

Procedure to cancel your registration for an event:


a) Before the cancellation cutoff date, log in to the website and use the "Cancel Registration" button on the event. If it is a paid event, you will be refunded in Calgary Ski Club (CSC) points. An automated email will be sent to the Event Host informing them of your decision to cancel.

b) After the cancellation cutoff date, notify the Event Host. A refund may be provided using Calgary Ski Club (CSC) points but only if the event is full and someone fills your spot. If your spot has not been filled, no refund will be provided, and your spot will be held for you. If your spot is filled, the Event Host will cancel your registration, and you will receive a refund in CSC points.

 

Cancelled spots will be filled fairly by the host, using the waiting list. A member is not allowed to sell their spot to another member (through an external transfer of funds).

 

The cancellation cutoff date is usually determined by the date that the Calgary Ski Club (CSC) must pay the non-refundable portion of the event cost.

 

Free Events


To cancel your registration in a scheduled event that does not involve payment, follow the procedure above. If you need to cancel at the last-minute, contact the host via text or email. If you are running late, notify the Event Host as soon as safely possible. Do not be a no-show. This means people may be waiting unnecessarily for you and may mean other members may not be able to attend when there are limited spots. No-shows may be banned from future events.

 

Rationale for Cancellation Policy


The Calgary Ski Club (CSC) is run by volunteers. We do not have a paid administrator. Our analysis shows that dealing with cancellations is the greatest time-consuming task for the Event Hosts, the Treasurer, and the Trip Committee. In the past the Calgary Ski Club (CSC) has been far too lenient in giving refunds, causing refund requests to become overwhelming. This is despite having a $25 cancellation fee.

The goals of the above Cancellation Policy are:

  • Automate the cancellation and refund procedure through the Club Express software saving volunteer time.
  • Discourage people from registering if they are not fully committed to participate.
  • Save the Calgary Ski Club from excessive credit card and bank fees, there are no fees on refunds using Calgary Ski Club (CSC) points.
  • Discourage people from cancelling without a compelling reason.
  • Encourage participants to obtain cancellation insurance (a free offering with many credit cards)
